General Terms

​

  • 4 Keep Sakes cannot be held liable for colour differences, since screen calibration and press colours are not always the same. If colour accuracy is a concern, please request a printer's proof to be signed off personally.

  • Please ensure all files are error-free, and send confirmation by email that we may proceed to print, laser, or engrave.

  • Artwork charges levied on any job cover the fair use of the corresponding artwork for that particular job — not ownership of the artwork, design, or creative concept. Please enquire separately about the outright purchase of any artwork, design, or creative concept. 4 Keep Sakes remains the sole copyright holder of all artwork, designs, and creative concepts created by us and our staff. This excludes the copyright of any registered name, except where 4 Keep Sakes has developed the artwork, design, or creative concept directly associated with that name, image, or idea.

  • Urgent orders are subject to priority fees.

  • Quotes are costed as a single unit and are valid for 30 days only. Any changes to a quote may affect the price.

  • Cash on delivery (COD) only.

  • Full payment upfront is required for orders under R10,000. Deposits (80%) are non-refundable on orders above this threshold.

  • Orders below our minimum fee of R250 will not include artwork for approval; if artwork is requested on these orders, a design fee of R350 per hour will apply.

  • Orders are completed within 5–7 working days after signed-off artwork, once payment reflects in our account.

  • 4 Keep Sakes prefers CorelDRAW files that have been converted to curves before saving, but we also accept BMP, JPEG, PNG and PDF files, provided they are print-ready. Any format that is not print-ready will incur a design fee. All Canva designs incur a design fee, regardless of format or export quality.

  • Minimum fee: R250, or R350 per hour for design work.

  • These designs remain the property of 4 Keep Sakes and may not be reproduced without written permission.

  • All artwork must be approved by the customer before we proceed with the order.

  • It is the customer's responsibility to ensure the proof is correct in every respect — please double-check spelling, grammar, layout, and design content carefully.

  • If an approved proof is later found to contain an error, the customer is responsible for all resulting costs, including corrections and reprints.

  • Once an order has left our premises, we cannot be held liable for any items reported missing or damaged.

  • Due to natural tonal variation in wood, laser-engraved results will vary from one item to the next, and may even vary within the same item.

  • Artwork proofs may not reflect the exact apparel style used for the final product.

  • We are not experts in identifying different types of metal or leather, and each product reacts differently to the laser — we cannot be held liable if the laser damages these products, nor can we guarantee the outcome will match what you imagined.

Setup Fee (R225.00)

This fee covers the cost of creating a die, plate, screen, or other fixture used on our machines to add your logo or design to your promotional product. This fixture is required for all new orders, and for any revisions or changes made to a current order.

Design Fee (R350 per hour)

This fee covers a specific, limited scope of work — generally the proposed layout and sourcing of materials for that layout, including redrawing images so they are print- or laser-ready. Our preferred artwork format for design work is CorelDRAW.

Disclaimer for Canva Designs Submitted for Printing

Canva is a fantastic tool for creating professional-looking designs with ease. Its user-friendly interface and wide range of templates make it accessible to everyone. However, for printing purposes, there are specific requirements and limitations to keep in mind to ensure your design prints as intended.

  • 1. Resolution Requirements For clear, high-quality prints, all elements of your design must be at least 300 DPI (dots per inch). Images or artwork  below 300 DPI may appear blurry or pixelated when printed.

  • 2. Digital vs. Print Resolution Designs optimised for digital screens are often created at a lower resolution for faster loading. For printing, high-resolution files are essential to maintain clarity and detail.

  • 3. File Format Guidelines When exporting your Canva design for printing, use PDF (preferred) or PNG. Please select the following options during export: Crop Marks and Bleed, and Flatten PDF. For corporate branding, export in a CMYK colour profile for more accurate colour reproduction — files exported in RGB will be auto-converted to CMYK, which may cause some colour variation.

  • 4. Compatibility and Design Adjustments Canva files are imported into our production design software, which can sometimes cause alignment or text issues. If the file becomes corrupted, or requires adjustment to match the original design, design fees will apply for the rework.

  • 5. Responsibility Disclaimer While we take every measure to ensure your design prints correctly, we cannot be held responsible for errors caused by issues in the original Canva file, such as incorrect grammar or spelling, misalignment or formatting discrepancies, or compatibility issues during import. To avoid complications, we recommend double-checking your design for accuracy and clarity before submission.
